This Privacy Policy explains what information we collect when you visit rubyrentalsnj.com or interact with us as a tenant, applicant, landlord, or vendor, how we use it, and the choices you have. By using our services or providing information to us, you agree to the practices described here.
1. Information we collect
We collect information you give us directly, such as:
- Identification details (name, date of birth, government ID images) for rental applications and lease execution.
- Contact details (phone number, email address, physical address).
- Financial information (income, employment, references, credit-check authorizations) when you apply for a rental.
- Communications you send us — emails, text messages, and form submissions.
- Documents you upload (pay stubs, bank statements, signed leases, etc.).
We also collect technical information automatically — IP address, browser, and pages visited — to keep our services working and secure.
2. How we use your information
- To process rental applications, screen prospective tenants, and execute leases.
- To communicate with you about showings, applications, leases, account notifications, and customer support.
- To comply with legal, regulatory, and tax obligations applicable to real estate licensees and property management.
- To prevent fraud and protect our services.
3. SMS / text-message communications
Opt-in. By providing your mobile phone number on our rental application, contact form, or other Ruby Rentals Team intake document, you expressly consent to receive text messages from Ruby Rentals Team related to your application, scheduled showings, lease documents, account notifications, and customer-care communications.
Frequency. Message frequency varies based on your interactions with us — typically only when there is something to send (e.g., a showing reminder, a lease ready for signature, or an answer to your inquiry).
Opt-out. Reply STOP to any text message we send to immediately stop receiving SMS from that number. You can also email leasing@rubyrentalsnj.com with the subject line "Unsubscribe SMS" to opt out of all text communications. Opting out of SMS will not affect non-SMS communications (such as email) or your application/lease in any way.
Help. Reply HELP to any text we send for support information, or contact us using the channels listed on our home page.
Costs. Message and data rates may apply, depending on your mobile carrier and plan. Ruby Rentals Team does not charge a separate fee for SMS communications.
No sale or sharing for marketing. Ruby Rentals Team does not sell, lease, or share your phone number or text-message content with third parties for their marketing purposes. Mobile information is not transferred to third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support of our services (such as the SMS delivery provider that physically transmits the message) is permitted but limited to the purpose described.
4. How we share your information
We share information only as needed to operate our services or as required by law. Categories of recipients include:
- Landlords and property owners (only with respect to applications and leases for their properties).
- Tenant-screening and credit-check providers, used solely to evaluate applications.
- Service providers acting on our behalf — for example, our SMS delivery provider, e-signature/audit infrastructure, document storage, and email — under written confidentiality terms.
- Legal, regulatory, or government authorities when compelled by law or to enforce our agreements.
We do not sell personal information.
5. Data retention
We retain rental application and lease records for as long as required by New Jersey real estate, tax, and fair-housing rules, and as necessary to defend against potential disputes. Communications and audit logs are retained on the same schedule. You may request deletion of records that are no longer subject to a legal retention obligation.
6. Your choices and rights
- You may update or request correction of your contact information at any time by emailing us.
- You may opt out of SMS communications as described in Section 3.
- You may request a copy of records we hold about you, subject to identity verification and applicable law.
7. Security
We use industry-standard technical and administrative safeguards (TLS in transit, encrypted storage, access controls, audit trails) to protect your information. No system is perfectly secure; please notify us immediately if you suspect your account has been compromised.
8. Children
Our services are intended for adults. We do not knowingly collect information from children under 18. If you believe we have collected information from a minor, please contact us and we will delete it.
9. Changes to this policy
We may update this Privacy Policy from time to time. The "Effective date" at the top of this page reflects the most recent change. Material changes will be highlighted on the home page or sent to your email on file.
